Make a Checklist
Your checklist is going to be your best friend from the moment you start planning to the moment you pack up your stuff after wrapping up the event. In fact, without a checklist, it’s almost impossible to effectively plan an event at all. It should contain all the things that you have to arrange related to the:
- Ambience (Music, lighting, air conditioning, etc.)
- Sponsors, if any (Marketing material, etc.)
Although it’s not necessary to limit yourself to the factors mentioned above, it is absolutely crucial that they are included in your checklist. You should also always keep your checklist with you to keep track of your progress.
Draw Up a Budget & Calculate Costs
There’s a very good chance that you have already thought about your budget. If you haven’t, it’s about time that you do, to avoid going bankrupt. You can’t start blindly throwing away your valuable rupees. You need to sit down alone or with your team and start calculating costs. This is where your checklist is going to come in handy – all the vendors and ask for an estimate for their services and/or the items they are providing to you, which can include rent for a hall, price per plate when it comes to food, the cost of the sound system, and so on. Then, start calculating. If the cost is exceeding your planned budget, then cut down on expenses wherever you can.
Make a Guest List/Think About the Audience
The next step is to create a guest list for your event. This is going to take some time and you might need the help of a friend or your partner with whom you are planning the event. If it is a private event, let’s say a Pakistani wedding, then think of all the family members that you have to invite. Leave no one out. On the other hand, if you are planning a public or a corporate event that requires a ticket for entrance, then make a list of all those who have booked tickets for themselves and a separate list of special/chief guests that don’t require them. Doing so will help you a lot in ensuring that the venue has enough space to accommodate everyone, knowing how much food you need to order, and keeping track of all your costs.
Make a Team & Assign Responsibilities
Once you have arranged all the basic aspects of your event, it’s now time to build a team. It doesn’t matter how much experience you have with event management – you cannot pull off a top-notch event without a little assistance. With so many things to look after, it’s nice to have a few extra hands to help out. So, pick the people you feel are fit for the job and make a team. Afterward, assign individual responsibilities to your team members and make sure to communicate them effectively. You need someone to make calls, keep count of supplies (if any), look after the security, and so on. Do not be vague with your instructions if you want everything to be streamlined – communicate clearly and keep your team highly motivated to get all the tasks done!
Ensure Appropriate Security Measures
One of the biggest challenges of event management in Pakistan is taking appropriate security measures. Although venues usually provide their own security guards, you might want to take some additional measures if you are arranging a public event for your company. Things can get out of hand at any moment and you need reliable security professionals who will keep an eye on everything. At the end of the day, you need to be prepared for the worst-case scenarios – you must not compromise on the security of your guests at any cost.
Apart from all of the things mentioned above, you need to ensure that enough people actually attend your event. To ensure this, you will have to do some serious marketing on social media and other platforms so that you can attract as many guests as possible. Keep track of everything and remember to maintain strong communication with your team at all times.
